Terms and Conditions

In these Terms and Conditions, ‘we’ and ‘us’ refers to GoIcelandTours.com.

‘You’ refers to the individual purchasing the vacation who has requested a quote and has agreed to our Terms and Conditions. Please note that upon payment of any deposit or fees, you are agreeing to our Terms and Conditions on behalf of every person in your group traveling. If the booking is made on behalf of a limited company, ‘you’ refers to that company. ‘Event’ encompasses all aspects of a holiday booking with GoIcelandTours, whether it’s an active, social, or relaxation event. A group is defined as 5 or more people per booking.

Booking with GoIcelandTours:

A booking can be made over the phone using a credit card. Booking over the telephone automatically indicates your agreement to our Terms and Conditions.

It is the responsibility of each visitor to read the terms and conditions of your booking, as your booking is bound by these terms. Please note that we reserve the right to alter the terms and conditions without notice. Please check this web page for the latest Terms and Conditions.

Passage to your Vacation:

GoIcelandTours is an incoming tour operator providing a ‘land only’ service. We are not responsible for passenger travel into or out of Iceland. GoIcelandTours will not be responsible for any delays, cancellations, or other hindrance of passage to your vacation.

Your Travel Booking

Whether you book alone or as a group, we will only deal with the organizer booking name in all subsequent correspondence, including changes, amendments, and cancellations. You must be 18 years old at the time of booking and possess the legal capacity and authority to book as the lead name/organizer and travel on vacation with us. You are responsible for ensuring the accuracy of the personal details or any other information supplied in respect of yourself and any other person traveling on the booking and for passing on any information regarding the booking or any changes made in relation thereto, to all persons traveling on such booking, including but not limited to information on schedule changes or copies of booking confirmations.

It is a condition of your booking with us that you and all other members of your party, including infants and children, are adequately insured on vacation. Any person who is under 18 years old must be accompanied by an adult on his or her journey. There may be other restrictions and conditions on some offers. When you or (if you are booking through a travel agent) your travel agent asks for your booking to be confirmed, we will confirm the booking and set aside your chosen accommodation (or similar when your chosen accommodation is not available). Next, we will send you or your travel agent a confirmation. We may not be able to confirm some of our ground arrangements straight away. In these instances, we may issue a confirmation invoice. If there is any change to any of the details discussed at the time of booking, we will notify you promptly of any new or changed details, including a change to the total price (if any). If any detail on the confirmation invoice is not correct, tell us or your travel agent immediately. If there is an obvious error on the confirmation invoice, we reserve the right to correct it as soon as we become aware of it.

Quotes

All prices we advertise are accurate at the date published, but these prices may change due to decreasing availability, upcoming event announcements, and other unforeseen circumstances. As such, we reserve the right to pass on these price changes as and when they may arise. If, on the rare occasion, your vacation price increases after you have booked (i.e., an increase in VAT/tax rate or any other unforeseen circumstance), we reserve the right to pass this increase on to our customers after you have booked but no later than 30 days before the departure date stipulated, and we will forward an amendment invoice reflecting any changes made. After a confirmation invoice has been sent to you, any increase to your vacation price will be as a result of changes in the costs of supplying your vacation only.

Monies paid for these are non-refundable. These activities may include, but are not limited to; show tickets, transport, and theme parks.

If GoIcelandTours is not notified at least 30 days (95 days for groups) before your vacation of any alterations to numbers, we cannot guarantee that some additional charges won’t be applied.

These offers are open to direct bookings only (non-commissionable rates) and cannot be used in conjunction with any other offers.

Cancellations:

Cancellation of a booking can only be accepted if made in writing by the client and will only be considered canceled when written notice is received. Refund payments have a 10% handling fee.

The following cancellation charges apply for non-group bookings – 1 to 5 people:

  • 46 days out from arrival: 25% of payment will be lost at the point of cancellation.
  • 45-8 days prior to commencement of the vacation: 35% of the total remainder of monies owed.
  • 7-1 days to commencement of the vacation: Full deposit of 50% will be lost.
  • On the day of departure: Full deposit of 100% will be lost.

If any of your group members decide not to attend/are unable to attend or require to depart early from arrangements that they have paid for, no refund will be made.

The following cancellation charges apply for group bookings – 5+ people:

  • 46 days out from arrival: 25% of payment will be lost at the point of cancellation.
  • 45-8 days prior to commencement of the vacation: 35% of the total remainder of monies owed.
  • 7-1 days to commencement of the vacation: Full deposit of 50% will be lost.
  • On the day of departure: Full deposit of 100% will be lost.

Your deposit is non-refundable, even if the cancellation charge calculated is lower than the deposit amount paid. Where extra facilities or transport options are non-refundable, in part or in full, the cost of these will be added to the cancellation charge you have to pay.

You may transfer your booking to another person, providing the following conditions are met:

  • You authorize the change in writing
  • The new passenger accepts the transfer and the terms of our agreement
  • That person complies with the terms of the existing booking
  • That person has valid vacation insurance – you cannot transfer your vacation insurance to the new lead passenger.

We’ll charge amendment fees to change a name on a booking outside 30 days to departure for non-group bookings and 95 days for group bookings; these will be added to the new invoice. If there is a new lead/organizer passenger, and they should they fail to pay, you will be responsible for the payment of any balance due on that new invoice.

Please note that certain airlines, accommodation suppliers, and other transport providers treat changes as a cancellation and charge accordingly, up to 100% of the cost for that part of the arrangement. Where applicable, these charges will be passed on to you.

When changing your vacation details, the price of your new travel arrangements will be based on the price that applies on the day you make the change. These prices may not be the same as when you first made your booking.

Some accommodations are priced according to the number of people staying there. If your party size changes, we’ll recalculate your booking cost based on the new number of people going. If fewer people share the accommodation, then the cost per person may go up. This extra cost isn’t a cancellation charge, and it isn’t normally covered by insurance.

Some arrangements cannot be removed once they have been added to your booking. Certain extras, such as excursions, ticket events, theme park tickets, and airport extras may be non-refundable.

*Please note there won’t be any reduction in the price you pay, even if your new travel arrangements are cheaper than the original booking. All the above fees are applied once we have confirmed your booking with us. If you are not satisfied with any booking we make, you have 48 hours to notify us after we have confirmed the booking. After 48 hours, the booking is determined as satisfactory and any future amendments will be liable to the amendment fees outlined above. Each change requested is considered a single change and will have the fees applied. Accommodations cannot be altered within: 30 days for non-group bookings and 95 days for group bookings. All accommodation bookings are subject to availability.

If you cancel your booking – If you want to cancel your booking, or part of it, you must contact us as soon as possible. If you have made your booking through a Travel Agency, your agent must advise us of your request to cancel. Once your booking has been cancelled you can expect to receive a cancellation invoice within 14 days. If you don’t, please contact us.

To cover the cost of processing your cancellation, and to compensate us for the risk that we may not be able to resell your travel arrangements, we’ll make a cancellation charge on the scale shown above. The lead/organizer is responsible for paying this charge.

Guide to our cancellation charges – These charges are based on how many days before your booked departure we receive your cancellation notice and are a percentage of the total cost of your booking. If you want to cancel one or more passengers on the booking, you’ll have to pay a proportion of the applicable cancellation charge for those passengers.

If we cancel your booking – We aim to provide your vacation as booked. But if, for example, there are not enough people booked on your vacation or you do not pay the balance of the vacation price on time, we may cancel it. We reserve the right to cancel your vacation in any circumstances but if we cancel your vacation, except where this is because you have failed to make payment on time, you can either have a refund or accept a replacement vacation from us of equivalent standard and price, if we are able to offer you one.

If we change your booking details – We hope that we will not have to make any change to your vacation but, because our vacations are planned many months in advance, we sometimes do need to make changes. We reserve the right to do this at any time. We will let you or your travel agent know about any important changes when you book. If you have already booked, we will let you know as soon as we can, if there is time before your departure.

Escorted Tours and Drivers: GoIcelandTours will provide those visitors choosing an escorted tour with a personal driver/guide. The driver will also act as the guide for the duration of the tour. Where numbers dictate, we will designate a driver and an additional guide. The driver will act as guide throughout the passage of your vacations. At designated attractions around your vacation, the driver will pass over to the guide at the designated attractions. It should be noted that some attractions are self-guided, and each visitor will be expected to self-guide within the attractions as required. The driver/guide will not normally enter the attraction but will wait outside for the visitors to return to the vehicle. The drivers are allocated to the visitors for eight to nine hours driving per day (an additional hour will be designated within the day for lunch). For the purposes of health and safety, the drivers unless in exceptional circumstances cannot undertake driving beyond these hours. Driving is defined as a period from the commencement of the tour to the conclusion of the tour for that day and not timed on a basis of continuous driving for eight hours. GoIcelandTours considers the safety of its visitors and staff of paramount importance. The drivers will at all times obey the rules of the road. Each escorted tour will commence between 9 am – 10 am each day and run for 9 hours from start. In some circumstances, the tour can start at an earlier or later time but the reasons for the change should be brought to the attention of a member of GoIcelandTours as soon as possible.
